REQUEST FOR PROPOSALS- 2017 CONSUMER CONFIDENCE REPORT PRINTING & MAILING
Proposals for printing and bulk mailing the 2017 Consumer Confidence report (CCR) for the City of Panama City Beach Water System are being requested. The purposes of this CCR is to advise the City's water system customers of the water quality testing results for calendar year 2017.
The brochure is designed using Microsoft Word software. Graphics can be applied separately if necessary. The brochure shall be 24 inches left to right laid flat, 9 inches top to bottom. Finished size shall be 4 inches wide by 9 inches tall and shall be roll folded first in halves and then in thirds. The paper should be 80-pound gloss enamel text 4 over 4 bleed. The postage shall be calculated Class A standard mail for 18,000 pieces. A copy of the draft CCR is attached. THIS IS NOT TO BE REPRODUCED FOR MAILING AS IT IS PRELIMINARY AND IS PROVIDED FOR REFERENCE ONLY.
An electronic copy of the address database shall be supplied to the selected firm for mailing purposes. This database shall be in Microsoft Excel format and will need to be manipulated manually to eliminate duplicates and errors.
The draft brochure shall be printed, folded, and presented to the City for review no later than May 25, 2018 with final approval planned for no later than June 1, 2018. Final approved brochures must be printed and postmarked no later than June 15, 2018. An additional brochure will need to be sent via certified mail to FDEP NW FL District office at the same time. A contract name, number, and address will be provided by the City. A postage quote must be included separately in the bid proposal. The City expects to be charged for the actual number of brochures mailed and associated postage without markup. The postage allowance shall be $4,000.00 A draft copy must be approved by the City in writing prior to printing.
Please provide your proposal to the City of Panama City Beach Utilities Department at 116 South Arnold Road, Panama City Beach, FL, 32413 no later than 3:00 P.M. on April 30, 2018 within a sealed envelope marked as follows:
"SEALED PROPOSAL- 2017 CONSUMER CONFIDENCE REPORT PRINTING AND MAILING TO BE OPENED AT 3:00 P.M. ON APRIL 30, 2018. Attn: Mark Shaeffer, Utilities Engineer"
As the proposals will be opened publicly by the Utility Department at 3:00 P.M. on April 30, 2018, you or any interested parties are welcomed to attend to witness. City selection of the contractor is projected to be on or before May 3, 2018.
